What is Buff?
Buff is software built specifically for UK car detailers. It's where you manage your customers, book jobs, send invoices, take card payments, and keep track of how your business is doing, all in one place rather than spread across spreadsheets, WhatsApp, and paper.
Who is Buff for?
Buff is for mobile detailers, fixed-unit businesses and anyone running both. Whether you're a sole trader or have a whole team, Buff is built around the way detailing businesses actually work, not adapted from something designed for a completely different industry.
Is this just another generic CRM with a detailing skin on it?
No. Buff is built from the ground up for detailing. Vehicle classes, service pricing matrices, job types, site visits, and the way your work flows from booking through to payment are all native concepts, not workarounds.
Do I need to be tech-savvy to use it?
No. Buff is designed for owner-operators who are busy running a business, not managing software. The onboarding wizard walks you through setup step by step, and the day-to-day interface is built for use on the go, including on your phone.
Is it just for sole traders or can I use it with a team?
Both. Lite is designed for solo operators. Pro and Max add team seats with per-person permissions, so you can give staff their own logins and control exactly what they can see and do.
Is Buff designed for mobile detailers, unit-based businesses, or both?
All three. You tell Buff which mode you operate in during setup: mobile, unit, or both. The whole system adapts accordingly, so mobile operators see navigation links and site capture, while unit-based businesses get a drop-off workflow.
Is Buff only for the UK?
Yes, at launch. Buff is built around UK working practices, VAT and payment methods. It's designed for the UK detailing market specifically.
Is it built by people who understand detailing?
Yes. Buff is built by Sam Huck, who runs Definition Detailing as a separate business. The product decisions come from actual experience running a detailing business, not guesswork.
Is there a free trial?
Yes. Every new account gets a 14 days free trail. You'll need to add a card to activate the trial but nothing is charged until day 15. You can cancel anytime during the trial at no cost.
What does it actually replace?
For most detailers it replaces a mix of things: the spreadsheet or notes app you log jobs in, the manual invoices you send via email, the back-and-forth texts to confirm bookings, and the mental overhead of remembering who owes what. Plus it automates a lot of marketing activities to help you grow too
How does Buff handle my customers?
Every customer gets a profile with their contact details, address, vehicles, past jobs, and payment record. You build that picture over time without re-entering anything. It also handles business customers too.
Can I store multiple vehicles per customer?
Yes. Each customer can have multiple vehicles on their profile, stored with registration details, make, and class. When you book a job you pick the vehicle and the right service pricing applies automatically.

Yes, and Buff does this automatically. When you do a job for your customer and put the registration in, Buff will log that work in the vehicle profile that it creates. Whenever you want you can see all the vehicles that customer has, and also all the work you have ever done on that vehicle.
What does the job flow look like?
A job moves through five stages: Scheduled, In Progress, Complete, Invoiced, and Paid. You move it through those stages as the work happens. At completion, an invoice is created automatically and you can choose whether Buff emails it to your customer automatically too, or you can send it manually at any time
Can I see my jobs in a calendar view?
Yes. There's a full calendar with month, week, and day views. On mobile it switches to a card list so it's usable in the field. You can set your preferred default view in settings.
How do I track where a job is in progress?
The job page shows the current stage and gives you the relevant action buttons. Mobile operators get a "Navigate" button that opens the address in maps. Everything is on one page: the vehicle, services, location, notes, and billing.
Can I log notes on a job or customer?
Yes. Both job records and customer profiles have a notes section. Useful for things like access codes, parking notes, customer preferences, or anything you'd otherwise need to remember.
How does service pricing work?
You set up your services once, with prices per vehicle class. You can have categories too such as Cars, Motorcycles, Vans etc. and add as many as you need and then a size class within that category like Small Car, Medium Car etc. When you add a service to a job, Buff picks the right price for the vehicle automatically. You can override it per-job if needed.
Can I manage a team's jobs through Buff?
Yes on Pro and Max. You can assign jobs to specific team members, control what each person can see and edit, and track work across the business rather than just your own diary. It's also easy for you to move jobs between team members and when booking new jobs, Buff will suggest the best placed team member based on an alogrithm which includes availability, skills and their existing relationship with that customer
Can I import my existing customer list?
Yes. There's a CSV import tool in Settings so you can bring your customers across from wherever you're tracking them now without retyping everything.
Does Buff know about working hours and availability?
Yes. You set your working hours during setup, and the scheduling engine uses them to generate available slots for bookings. Non-working days are respected automatically.
What happens if I need to cancel or reschedule a job?
You can update a job's date or cancel it from the job page. Cancellation is tracked against the record so your history stays accurate.
Can I take card payments through Buff?
Yes, on Pro and Max. You connect your own Stripe account (takes a few minutes) and can then take payments via a link, QR code, or SMS. Stripe also enables you to accept Klarna and other buy now pay later options. The money goes directly into your Stripe account.
How does invoicing work?
When a job is marked complete, Buff creates the invoice automatically. It's line-itemised against the services on the job, with the vehicle and registration shown clearly making it compliant for invoicing dealerships and other businesses. You can also create invoices manually if needed.
What invoice templates are available?
Lite includes one template, Pro includes four and Max includes ten. All invoice templates come with full colour customisation using your brand colour and have your Logo and company details on. Invoices come as a PDF download or you can email them straight from Buff
Can I send a customer a payment link?
Yes. From any invoice you can send a payment link by email, by SMS, or display a QR code for in-person payment. When the customer pays, the invoice is marked as paid automatically.
Does Buff take a cut of my customer payments?
A small platform fee applies to payments processed through Buff's payment links, which varies by tier. This is separate from your Stripe fees. The money still goes directly to your Stripe account.
Can I log notes on a job or customer?
Yes. Both job records and customer profiles have a notes section. Useful for things like access codes, parking notes, customer preferences, or anything you'd otherwise need to remember.
Do I need my own Stripe account?
Yes. Buff connects to your Stripe account via their Express onboarding. It takes a few minutes to set up and Stripe holds and transfers your money on the same terms as any other Stripe account.
Can I record cash or bank transfer payments?
Yes. You can collect payment however your customer likes. If a customer pays you outside of Buff's payment links, you can record the payment manually against the invoice to mark it as settled. You can even use your own card machine and mark it as paid via card, but you will lose some of the native functionality and automation that the Stripe integration gives you
How does VAT work on invoices?
Buff supports VAT-registered businesses. You enter your VAT number during setup and invoices calculate and display VAT correctly. If you're not VAT-registered, VAT fields are simply not shown.
Can customers pay a deposit when they book?
Yes, on Pro and Max. You can set a global deposit requirement (a percentage or fixed amount), with the option to override it per service. The deposit is collected at the time of booking and the remainder settled after the job.
Can I set up automatic invoice sending after a job?
Yes. Buff can automatically send the invoice to the customer by email when a job is marked as complete, so you don't have to do it manually every time.
I charge depending on the size of the car, how do online bookings work?
In Buff, you create vehicle categories and size classes. For example you may detail cars and motorbikes. Then within each category are size classes such as small car, medium car etc. When you create these you add a description of the vehicles within this size class. Then when a customer is booking, they either enter their registration or just type what car they have. Buff then searches the registration with the DVSA and matches it to the best vehicle class in your account. Buff will then only show services for their vehicle and the specific price for it too. Everything is customisable in your settings such as deposit amounts and all vehicle classes and categories.
Can customers book with me directly through Buff?
Yes, on Pro and Max. You can enable online bookings and share a booking page or embed a widget on your own website. Customers pick their service, choose a slot, and pay upfront or by deposit.
Do I need my own website to take online bookings?
No. Pro and Max accounts include a Buff microsite: a simple public-facing page for your business with your services, photos, reviews, and contact details. You can send customers directly to that page.
What does the microsite include?
You build it from sections: a hero area, about section, your services, a gallery, customer reviews, your service area, and a contact section. You choose which sections to show and in what order. It carries your branding and accent colour.
Can I embed a booking form on my own website?
Yes, on Pro and Max. Buff provides a code snippet you add to your site, which loads the booking widget in an iframe. Your customers stay on your website and the bookings feed into Buff.
What happens when someone books online?
Depending on how you've configured it, they're either confirmed instantly or their request is held for your approval (Request mode). In Request mode, once you confirm, Buff sends them a payment link to complete their deposit or full payment.
Can I control which services are available for online booking?
Yes. Each service has its own toggle for whether it can be booked online. You might offer full ceramic coating by quote only while keeping express details available to book directly, for example.
Can customers book for both mobile and unit jobs?
If you run both modes, the booking flow asks the customer whether they want you to come to them or whether they'll bring the vehicle to your unit. The job is created with the right type based on their answer.
Will I get notified when someone books or enquires?
Yes. Buff sends you an email and SMS notification when a new booking comes in. You can configure which notifications you want in your settings.
Can I customise the booking experience with my own branding?
Yes. Your business name, logo, and brand colour carry through to the booking page and confirmation emails. Customers see your business, not Buff.
